Privacy Policy

1. Who we are

SENtiment is a SEND care management platform operated in the United Kingdom. We are committed to protecting the privacy and security of personal data in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

2. Data we collect

We collect data necessary to provide the SENtiment platform, including: school and organisation details, staff account information (name, email, role), child records and educational data (processed on behalf of schools as data controller), behaviour logs, learning activities, transport events, safeguarding records, and messaging content.

3. How we use your data

Data is used solely to provide, maintain and improve the SENtiment platform. We do not sell personal data to third parties. Child data is processed strictly on the instructions of the school (as data controller). We use anonymised, aggregated data only for platform improvement purposes.

4. Data retention

School and child data is retained for the duration of the active subscription plus 12 months, unless a shorter retention period is requested. After this period, data is permanently deleted from all systems. You may request early deletion at any time.

5. Data security

All data is encrypted in transit (TLS 1.3) and at rest (AES-256). Access is controlled via role-based permissions. School data is isolated at the tenant level — no cross-school access is possible. We conduct regular security audits and penetration testing.

6. Your rights

Under UK GDPR, individuals have the right to access, correct, delete, or port their personal data. Schools (as data controllers) are responsible for managing data subject requests from staff and parents. SENtiment will assist schools in fulfilling these requests upon written request.

7. Cookies

SENtiment uses strictly necessary cookies to maintain your session and ensure platform functionality. We do not use advertising or third-party tracking cookies.
